Event QR Codes: A Poster That Adds Itself to Your Calendar
A flyer for a concert, a wedding invite, a conference badge — the usual next step is typing the date into your phone by hand, if you remember to at all. An Event QR code skips that step: scan it, and the event shows up ready to add to your calendar, nothing typed.
What actually happens when you scan it
An Event QR code doesn't link to a webpage. It encodes the event itself — title, start and end time, location, and a description — in a standard calendar file format (iCalendar, the same format calendar apps already use to import and export events). Scanning it opens that file directly in whatever calendar app is already set as the default on the scanner's phone: Google Calendar, Apple Calendar, Outlook, or anything else. No app to install, no account to connect — it's the same "Add Event" screen you'd see importing any calendar invite.
What goes on the card
- Title — what shows up on the calendar
- Start and end date/time
- Location — shows up as a tappable address in most calendar apps
- Description — anything else worth including, like a dress code or a ticket link
All five are optional except the title, so a QR code for something simple ("Team standup, tomorrow 9am") takes seconds to set up.
Static vs dynamic for events
A static Event QR code is fixed the moment you create it — right for something that has one date and isn't changing, like a wedding invite. If the event might get rescheduled, or you're printing something that'll be reused for a recurring event with a new date each time, a dynamic QR code lets you update the date without reprinting anything — the same code on the poster just points to whatever the current details are.
Where it's actually useful
Anywhere a paper invite or flyer would go: a wedding invitation, a conference badge or program, a poster for a show, a save-the-date card, a meetup flyer taped to a wall. The QR code does the one thing a printed date can't — it puts the event directly into the one place people actually check before showing up.
